RE: PAYROLL PROCESSING

As you may be aware, the City and Springfield Public Schools (SPS) have been actively engaged in converting many of their financial and administrative systems to Munis, our standard system for all administrative and financial functions. The City and SPS are currently completing an overhaul of our human resources and payroll systems and are scheduled to go live with these applications in January 2010. The first paycheck to be issued under Munis will be January 8, 2010. This process has involved a great deal of planning, system configuration, and extensive testing. A part of this process is to keep employees informed of the changes that may affect them.

As part of the conversion, the City has taken all pay plans and converted them to Munis. This involved calculating rates of pay to the ten thousandth decimal point. Due to rounding, your gross or total weekly amount of pay may be off by a penny (either up or down). Likewise your various deductions may be off (up or down) again by a penny. This may affect your weekly take home pay by up to several cents a week depending on how many deductions you have.

In January 2010 there will also be changes to the health insurance premium deducted from your paychecks, for those opting for this benefit. The premiums will slightly decrease. The health insurance premium changes will take place on January 15th for weekly checks and January 22d for bi-weekly checks. There will also be changes to the federal tax withholding tables which may affect your tax withholding.

If, after we implement this system in January 2010, you believe that your take home pay is being affected beyond the amounts described above and you are a City employee please email payroll@springfieldcityhall.com or call our hotline at 886-5230. If you are an employee of Springfield Public Schools please go to the Springfield Public Schools website at www.SPS.springfield.ma.us, click on “OITA Support” and then choose “Payroll (TLM/Munis)”.

Please find a sample of the new paycheck here.
