39 - PA: Lease of Copiers

End date: Thursday August 17, 2006 at 2 p.m.

It is the intent of the City of Springfield School Department to develop a price agreement for copier services for each of the various sites as listed in the bid specifications. The total number of machines placed, based upon this agreement, is expected to be in the range of one hundred to one hundred twenty-five machines during the three (3) year period of this agreement. The equipment must be developed, in the field today and available for placement at the school sites no later than September 1, 2006. The total estimated cost of the agreement per year will be $445,000.00 dollars.

This bid is designed specifically as a "total annual cost" bid.

The Springfield School Department does not intend to take ownership of the equipment as a result of this bid. All equipment shall remain the property of the successful vendor.

Bidder must list five (5) or more school systems (or comparable non-school entity placement with twenty (20) or more copiers) using their service for a minimum of three (3) consecutive years. Bidder must have been in business for at least five (5) consecutive years. Vendor must have dedicated sales representative for the Springfield Public Schools.

All bidders are invited to attend a pre-bid conference/briefing session on Tuesday, August 8, 2006 at 10:00a.m. at the Springfield School Department Central Office, School Committee Board Room at 195 State Street, Springfield, MA. Bidders may contact Tom Mazza, School Department at 413-787-7056.

The City of Springfield supports the goal of twenty percent minority and women participation in all contracts. No questions will be answered unless received by the Chief Procurement Officer at least 7 days prior to the expiration of the time set for submitting bids or proposals. The Chief Procurement Officer reserves the right to waive any informality in and to reject any or all bids if it is in the public interest to do so.
