26-136 - Request for Proposals for Springfield Public Schools Copy Center/Managed Print Services
End date: Monday March 23, 2026 at 2 p.m.The City of Springfield Public Schools is soliciting proposals from qualified firms to enter into a Three (3) year or Four (4) year term contract for the establishment, operation, management of a Copy Center and Managed Print Operation. The SPS is seeking vendors to meet established service level agreements for a high-volume copy center to service the school department. The SPS is simultaneously seeking proposals for the leasing of multi-Functioning devices and maintenance & repair of its MFD and Desktop Printer Fleets. The RFP also contains an internship component, as well as a Courier/Mailing Services component.
The contract(s) is estimated to be a value of not to exceed $4.5 Million Dollars and 00/100 ($4,500,000.00) for a Three-Year Term or $5.5 Million Dollars and 00/100 ($5,500,000.00) for a Four-Year Term.
All questions must be made in writing and received by the Office of Procurement no later than March 11, 2026 by to 4:30 P.M to lstabilo@springfieldciythall.com and jmaxey@springfieldcityhall.com in order to be considered. The City of Springfield supports the goal of twenty percent minority and women participation in all contracts.
The Chief Procurement Officer reserves the right to waive any informality in and to reject any or all bids if it is in the public interest to do so.
