184 - RFP:Centralized Library Management System

End date: Monday February 11, 2008 at 2 p.m.

It is the intent of this RFP for the School Department to seek qualified vendors for a Centralized Library Management System. The desire is to have a single vendor for the purchase of software, data conversion services, installation, training and ongoing annual technical support and maintenance of the Library Management Solution.

The Springfield Public School System is seeking services for forty-three school sites, with a student population of almost 26,000, serving students Pre-K through grade 12. Thirty of these sites are elementary schools, K-5, two are K-8, six are middle schools, one is a 6-12 school, and four are high schools.

The fifteen schools currently automated, including all four high schools, four middle schools and seven elementary schools are using the Sagebrush (now Follett) Spectrum client-server program. Some sites have been automated for over ten years and some for just a few years. Two of the high schools also have access to Spectrum Web Catalog. Each automated site is networked to a Windows server at that site. Workstations are running Windows 98, Windows 2000, or Windows XP. One of the district goals in technology is, at some point, do away with school based servers and rely strictly on centralized, web-based software applications. We want to move away from stand-alone, school-based software programs and utilize the advantages and cost savings that a centralized web-based application can bring.

The estimated cost is $89,000.00 per year with option to renew upon appropriation of funds.

The City of Springfield supports the goal of twenty percent minority and women (MWBE) participation in all contracts.

The Deputy Purchasing Agent reserves the right to waive any informality in and to reject any or all bids if it is in the public interest to do so.
