2 - On-Site Document Specialist

The City of Springfield Public Schools is seeking bids from vendors to provide on-site labor within the Data Center for the operations of a Canon 125VP Production Imaging System and a web-based document submission/ reporting system.

Position Profile:Supervises day to day operations of document production. Position does not have hiring, firing or job performance responsibility for the personnel on site. May run shifts or site solo. Develops, implements and reviews related procedures. Maintaining customer driven service levels and ensures that customer expectations are met. Under the direction of the Site Manager, the on-site document specialist can function as the point person on site for customer issues and contract compliance. Functions as a document specialist or other operations worker.

The vendor is required to provide operational experience for the operations of a Canon 125VP production system including working knowledge and experience with an ADOBE based scan / print workflow including software knowledge of ADOBE Acrobat, Quite Imposing and Pit Stop Professional.

Supplier must have facilities management sites locally containing multiple operators to respond to emergency back-up requirements. Supplier must have local floater team staffed with fully trained back-up personnel. Supplier must have the ability to provide, support and service multiple manufacturers of office equipment and technology.

Estimated cost per year is $50,000.00. This contract has an option to renew for two additional one- year terms

The City of Springfield supports the goal of twenty percent minority and women participation in all contracts. No questions will be answered unless received by the Chief Procurement Officer at least 7 days prior to the expiration of the time set for submitting bids or proposals. The Chief Procurement Officer reserves the right to waive any informality in and to reject any or all bids if it is in the public interest to do so.
