12-441 - RFP: Electronic Health Records Vendor Hosted Services

This Request for Proposal (RFP) is an invitation to a select group of vendors to submit proposals for a multi-service solution in support of the City of Springfield, Massachusetts Health Services for the Homeless Health Center (Health Center), with administrative offices located at the Springfield Department of Health and Human Services (SDHHS), 95 State Street, Suite 201, Springfield, Massachusetts 01103. The intent is to obtain information leading to the selection of one or more service providers that best meet the selection criteria of the Health Center.

SDHHS desires to contract preferably with one vendor for the following services:
• Dedicated hosting environment for EHR application
• Technology support and managed services
• eClinicalWorks EHR support and training

Vendors should submit an RFP for all areas and show an integrated approach with respect to services and support. Any quotes submitted should be itemized with the separation of services.

The City of Springfield reserves the right to reject any and all proposals; and award all or part of the contract in a manner that is in the best interest of the Health Center.

Contract will be awarded for one (1) year with option to renew for two (2) additional years.

Vendors are encouraged to partner with other service providers in order to provide the full scope of services. In this case the partnering service provider must be listed in the RFP along with any company background information.

The awarded vendor is required to submit a detailed project plan. The project schedule must include an estimated use of City and vendor resources. The City will approve the estimated timeframe, tools and software throughout the project.

Respondents who are selected for further consideration will be requested to make on-site presentations and demonstrations.
